Adding a Credit to a Family’s Account

How to add a credit to a family’s account to adjust balances or apply goodwill.

Credits are useful when you need to adjust a family’s balance - for example, if a class was cancelled, a discount needs to be applied, or you're making a goodwill adjustment.
 
What happens after a credit is added depends on the order and the family’s account balance.

How to Add a Credit

  1. Go to Members → Families and open the family’s profile.

  2. Find the Order you want to adjust (you can also access orders through Billing → Orders).

  3. Open the order, then look for the three-dot menu (...) next to the specific line item.

  4. Click Add Credit.

  5. Enter the credit amount and add a short note if you'd like (optional but helpful!).

  6. Click Save.


What Happens After You Add a Credit

How the credit is applied depends on the order status:

  • If the order has not been paid yet

    • The credit will reduce the amount due on that order.

  • If the order has already been paid

    • The credit will be added to the family’s account balance.

    • This balance can be used toward future payments.

  • If a family has a positive account balance, that credit is currently only applied automatically during:

    • Checkout in the Family Portal

    • Automated payments (such as scheduled instalments)

That’s it! The credit will now appear on the family’s account and will automatically be applied to the selected order or to upcoming payments if the order is being paid in installments.
