Creating Seasons or Terms

A step-by-step guide to setting up seasons or terms to define your class schedules, pricing, and billing options.

Before creating your classes, you’ll first need to set up a Season or Term - these define your billing and enrollment cycles. 🕔

Each season determines how your classes are billed and how long the enrollment runs.

To create a new Season / Term:

  1. From your left-hand menu, navigate to Class PlannerSeasons / Terms

  2. Hit the Create button to start setting up your new season.

  3. Enter Season Details

    • Name - Give your season a clear name (e.g., Autumn 2025).

    • Start & End Date - Set when the term begins and ends.

  4. Toggle the Registration Fee On or Off

    Registration fees are optional charges paid when joining - they usually cover admin costs and help secure a student’s place.

    📝 You can set your registration fee prices by going to SettingsRegistration Fee.

  5. Add Season Specific Fees (Optional)

    These are extra charges that apply only for this particular season - for example, costume or recital fees.

    Click Add Season Specific Fee to include them.
    (Fees are added per student, but you can set a max per family.)

  6. Pricing Section

    Here’s where you’ll set how your classes are priced within this season.

    You can only have one pricing structure per season, so if you offer different billing setups (e.g., hourly vs. monthly), you’ll need to create separate seasons for each.

    Choose your pricing structure:

    • By Lesson - Enter the lesson price; the total is automatically calculated based on the number of lessons (holidays are considered).

    • By Month - Enter the monthly price; we’ll multiply by the number of months in the term.

    • By Season - Enter a single price covering the entire term.

    • Number of Classes - Charge monthly based on the total number of classes each student takes per week.

    • Number of Hours - Charge monthly based on the total number of hours a student takes per week.

  7. Billing Options

    Select which payment options you’d like to offer your customers. All ticked options will appear when families register.

    We recommend offering a maximum of two payment options to keep things simple.

    • Upfront - One-time payment for the full season.

    • Monthly - Divide the total by the number of months in the term.

    • Fortnightly - Payments every two weeks.

    • Weekly - Payments every week.

    • Custom payment options are also available - you can set up to two options, including installment numbers, discounts, and due dates.

  8. Once everything’s filled out, click Create - and that’s it! 🎉 You’ve now created your first Season / Term.
