Enrolling Students into Full-Term Classes

Add students to classes and automatically create their orders

As an admin or staff member, you can enrol students into full-term classes from the Family Profile, Student Profile, or Class Planner.

Orders are created automatically. When a student is enrolled into a class, an order is generated for the family based on the selected payment option. The family receives a booking confirmation email with the fees due and can pay through the Family Portal.

📝 Each enrolment normally creates a separate order. If you want multiple classes or students from the same family to be included in one order, enrol them together from the Family Profile.

When to Use Each Method

Family Profile
Use this when enrolling multiple students or multiple classes for the same family and you want to include the enrollments in a single order.

Student Profile
Use this when enrolling one student into one or more classes. Selecting multiple classes at the same time will include them in a single order.

Class Planner
Use this when enrolling multiple students into the same class. This allows you to select several students at once, but an individual order will be created for each student.


Enrol from the Student Profile

Use the student profile when enrolling an individual student into one or more classes. Select all applicable classes at the same time to include them in a single order.

  1. Go to MembersStudents.Or use the global search (magnifying glass icon) to quickly find a student.
  2. Select the student's profile.
  3. Click Enrollments.
  4. Click Enroll.
  5. In the enrollment panel:
    • Select the season/term.
    • Select all applicable classes.
    • Select a payment option.
    • Review the enrollment dates and adjust them if needed.
  6. Click Add.

An order containing the selected enrolments will be created automatically.


Enrol from the Class Planner

Use the Class Planner when enrolling multiple students into the same class. This is a quicker way to select several students from the class rather than enrolling each student individually from their profiles.

📝 Each student enrolled through the Class Planner will have a separate order created for them.

  1. Go to Class Planner.
  2. Select the relevant season/term.
  3. Choose the class.
  4. In the Enrollments section, click the + icon.
  5. In the enrollment panel, select the students you want to enrol.
  6. Choose a payment option.
  7. Review the enrollment dates and adjust them if needed.
  8. Click Preview orders.
  9. Review the generated orders.
  10. Click into each order to check the details.
  11. Once everything looks correct, click Approve All.

An individual order will be created for each student enrolled.


Enrol from the Family Profile

Use the Family Profile when enrolling multiple students or multiple classes for the same family and you want to include the enrolments in a single order.

  1. Go to MembersFamilies.Or use the global search (magnifying glass icon) to quickly find the family.
  2. Select the family's profile.
  3. In the Billing and payments section, click Create.
  4. Select Enrollment order.
  5. Click Add enrollment.
    1. Select the student.
    2. Select the season/term.
    3. Select all applicable classes.
    4. Select a payment option.
    5. Review the enrollment dates and adjust them if needed.
  6. Click Add.
  7. To add another student from the same family to the order, click Add enrollment again and repeat the steps above.
  8. Once all enrolments have been added, click Preview Order.
  9. Review the generated order.
  10. Once everything looks correct, click Approve.

The selected enrolments will be included in the same order.


What Happens Next

Once the order is approved:

  • The enrolments become active and are reflected in the class lists.
  • The family receives a booking confirmation email with the class details and fees due if the relevant communication automation is enabled.
  • The family can pay any amount due through the Family Portal.

You can also manage payments manually by opening the order and choosing to:

  • Charge the card on file
  • Apply credit
  • Record a manual payment
