How do I remove a student but keep their information?

Keep student information safe by archiving instead of deleting their profile.

If a student isn’t enrolled the current term but you’d like to keep their details for future use, you can archive their profile instead of deleting it. Archiving a student marks them as inactive while keeping their data safely stored in your account.

Archived students:

  • Won’t appear in your active student list.

  • Can’t log in to the portal.

  • Can be easily restored when they re-enrol (They'll need to be re-invited to the portal once restored)

To archive a single student:

  1. Go to Members → Students.

  2. Click the three dots (...) along the student’s name.

  3. Select Archive.

To archive multiple students:

  1. Go to Members → Students.

  2. Tick the boxes next to the students you want to archive

  3. Click Actions Archive

To restore an archived student:

  1. Go to Members → Students

  2. Use the Filter to Show only archived items → Apply

  3. Click the three dots (...) beside the student’s name

  4. Select Restore

Deleting vs Archiving

Deleting permanently removes a student’s profile and data. Archiving keeps the data but marks the student as inactive - ideal for students taking a break.
