# Setting Up Pro-rated Tuition

## Automatically adjust fees when students join a season after it has started

Prorated tuition automatically adjusts a student's fees when they enrol after a season has already started, so they only pay for the lessons remaining in the season.

### How Prorated Tuition Works

Prorated tuition can be enabled at the **studio level** and adjusted for individual seasons.

It applies to:

- **Monthly billing**
- **Weekly billing**
- **Termly billing**

Prorating isn't available for **pay-per-lesson** pricing, as these fees are already based on individual lessons.

When prorating is enabled and a student joins a season after it has started, their fees are automatically adjusted based on the lessons remaining.

The prorated amount is clearly shown in the billing section of both the **staff view** and **Family Portal**, so families can see how their fees have been calculated.

### Enable Prorated Tuition

1. Go to `Settings`.
2. Under **Billing**, select `Pro-rated Tuition`.
3. Turn the setting **on**.
4. Click `Save`.

When enabled, prorated tuition can be used across your seasons. You can also adjust the setting for individual seasons if needed.

### Adjust Prorating for a Season

You can choose whether to use the studio's default prorating setting when setting up a season.

1. Go to `Class Planner`.
2. Click `Season` or `Term`.
3. Select the season/term you want to update.
4. Click `Actions`.
5. Select `Edit`.
6. Under the tuition or pricing settings, find **Pro-rated Tuition**.
7. Choose whether to use the **company default** or adjust the setting for this season.
8. `Save` your changes.

📝 The prorating option is only available for seasons using **monthly or termly** pricing. It won't appear when **pay-per-lesson** pricing is selected.

### What Families See

When a student enrols in a season that has already started, the Family Portal shows the adjusted amount during checkout.

For example, if a term has 48 lessons but only 45 remain when the student enrols, the family will be charged for the **45 remaining lessons** rather than the full term.

The prorated adjustment is also shown in the family's billing information, making it clear how the amount was calculated.

Staff can also see the prorated adjustment in the student's billing information.
