Understanding the Age Cut-Off Date

Control how student ages are calculated for class eligibility

The Age Cut-Off Date determines how Class Manager calculates a student’s age for enrollment into age-restricted classes. Instead of using their current age on the day of enrollment, the system calculates age based on a specific cut-off date that you choose in your settings.

This ensures students are placed in the correct age group for a season or term.


Where to Set the Age Cut-Off Date

Go to: Settingsunder Enrollments section Age Cut-Off Date

You’ll see four options:

1️⃣ First day of season/term

Each season/term uses its own start date as the cut-off.

Example:

  • Season/term starts September 1, class minimum age = 6

  • Student is 5 but turns 6 on or before September 1 → enrollment accepted

  • Student is 5 but turns 6 on or after September 2 → enrollment not accepted

2️⃣ 7 days after the start of the season/term

The cut-off date is 7 days after the season begins. So each season

Example:

  • Season starts September 1, class minimum age = 6

  • Student is 5 but turns 6 by September 7 → enrollment accepted

  • Student turns 6 on or after September 8 → enrollment not accepted

3️⃣ 28 days after the start of the season

The cut-off date is 28 days after the season begins.

Example:

  • Season starts September 1, class minimum age = 6

  • Student is 5 but turns 6 by September 29 → enrollment accepted

  • Student turns 6 on or after September 30 → enrollment not accepted

4️⃣ From specific date

You choose a fixed day and month (applies to all seasons).

Example 1:

  • Season starts September 1, class minimum age = 6

  • Age cut-off date = October 1

  • Student but turns 6 by September 1

  • Since the season starts before the cut-off date, the system calculates age based on October 1 last year → student is treated as 5

Example 2:

  • Season starts September 1, class minimum age = 6

     

  • Age cut-off date = August 1

  • Student turns 6 by September 1

  • Since the season starts after the cut-off date, the system calculates age based on August 1 of the same year → student is treated as 5


Handling Students Who Don’t Meet the Cut-Off

If a student’s age doesn’t meet the class requirements based on the cut-off date, you still have options:

  • Owners or staff can add the student directly to the class if needed.

  • Alternative approach for portal enrollment: Remove the class’s minimum and maximum age restrictions and include the suggested age in the class name (e.g., “Ballet (6–8 years)”).

    • This way, families can still enroll their children through the portal without requiring staff intervention.

    • The age guidance remains visible, helping families choose the right class.
