Setting Up Registration Fees

Step-by-step guide to create and configure registration fees for your students and families

Class Manager lets you charge registration fees to students. You can create:

  • One-off fees – charged once per student

  • Annual fees – charged once per year per student

These fees can be turned on or off for each season, and season-specific fees can also be set when creating or editing a season.


Step 1: Enable Registration Fees

  1. Go to SettingsRegistration and tuition fees.

  2. Turn on the toggle button to enable registration fees.

📝 You can turn this off later for individual seasons in the season create/edit form.


Step 2: Choose Fee Type

  1. Select which type of fee you want to create:

    • Create One-Off Fee

    • Create Annual Fee

  2. A form will slide in from the right. Complete the required fields:

    • Name: Enter a descriptive fee name (required)

    • Year Start Date: Determines when the annual fee is charged (required for annual fees only)

    • Per Student: Amount charged per student (required)

    • Max per Family: Caps total registration fees for multiple students in the same family (optional)

    • Tax Rate: Select the applicable tax rate (required)

  3. Click Create to save the fee.


Step 3: Registration Fee Due Dates

  1. If this is your first time setting up fees, a Continue button will appear on the lower right. Click it to move to the next step.

  2. In the Registration and Term Specific Fees section, choose when fees are due:

    • Due on Registration Date (default): Fee is due immediately when a student registers

    • Due with First Installment: Fee is paid together with the first tuition installment


Example: When Registration Fees Are Charged

Season/Term: January–April
Installments: Jan 1, Feb 1, Mar 1, Apr 1
Student enrolls: December 15 (before the season/term starts)

  • Due on Registration Date
    The registration fee is paid immediately on December 15, when the student enrolls.

  • Due with First Installment
    The registration fee is paid together with the first tuition installment, depending on your Tuition Fees settings.

    • If First installment Upfront / First and second upfront / First and last upfront is selected, the registration fee is also due on December 15.

    • If Nothing Upfront is selected, the registration fee will be due on January 1, when the first installment is scheduled.
